Start with the building, not just the monthly price.

Two cleaning proposals can look similar while describing very different work. One may include periodic floor care and daytime washroom checks; another may price only a short after-hours visit. Before comparing prices, give each prospective provider the same picture of the property and the same priorities.

1. Prepare a useful walkthrough brief.

List the property location, approximate floor area, occupied hours, washroom count, flooring types, and areas requiring restricted access. Include your preferred cleaning windows and any recurring concerns. For multiple buildings across Guelph and Waterloo Region, use a separate site summary for each location rather than treating every address as identical.

  • Offices: desks, meeting rooms, kitchens, touchpoints, and access restrictions.
  • Dealerships and retail: showroom presentation, visitor traffic, floor care, and public washrooms.
  • Warehouses: operational zones, dock access, dust accumulation, and equipment movement.
  • Clubs and recreation facilities: event calendars, seasonal occupancy, and changing-room use.

2. Separate routine work from periodic tasks.

Daily waste collection, washroom attention, and spot cleaning are different from carpet extraction, high dusting, floor finishing, and detailed equipment-area cleaning. Ask which tasks are included in the recurring price, how often they occur, and what needs a separate quotation. A written frequency schedule makes the comparison more useful.

3. Ask how service issues will be handled.

Agree on the site contact, the way issues are recorded, and who reviews follow-up. Ask how a missed task is raised, how scope changes are approved, and what happens when occupancy increases. A provider should be able to explain the communication process without relying on vague promises.

4. Confirm documentation and access.

Discuss current insurance, WSIB status where applicable, relevant qualifications, and site-specific onboarding. Clarify keys, alarms, security instructions, chemical storage, and any work that requires special authorization. Request only the documents relevant to your procurement process and share sensitive access details through an agreed secure channel.

5. Compare the same scope.

Use a short comparison table: task, frequency, included areas, exclusions, periodic work, reporting, and price. If one quote is lower, identify what differs before drawing a conclusion. A clear scope helps both parties avoid misunderstandings after the first clean.
